Payments

A guide for community teams on how payments, payment links, and refunds work for events, reservations, and memberships.

Written by Allison Charette

Overview

Payments for events, reservations, and memberships are taken directly through the Customer Blueprint platform using the Stripe payment processor. Residents pay securely at checkout on the resident website or app, and your community team can also take payments and process refunds from the Hub.

Free events and reservations do not require any payment information. Residents simply complete their registration or booking.

Payment Options

Every payment is completed in a secure Stripe payment window. Depending on your community’s Stripe configuration, residents can choose from the following payment options:

  • Credit or debit card

  • Cash App Pay

  • Affirm

  • Klarna

  • Crypto

  • Amazon Pay

  • Link

About Link

Link is Stripe’s optional digital wallet, available in every Stripe payment window. Residents who choose to use it can save their payment information to a Link account for faster checkout on future purchases. Using Link is entirely optional. Learn more in Stripe’s help article: Link by Stripe.

Transaction Fees

Stripe charges a processing fee on electronic transactions. How these fees are handled, whether absorbed by the community or passed on to residents, is up to your community. For current rates and details on each payment method, see Stripe Pricing.

Resident Purchases

When a resident purchases event tickets or makes a reservation through the resident website or app, they pay in the Stripe payment window at the time of purchase. Payment is completed at checkout to secure their tickets or reservation.

One Event or Reservation per Transaction

Each transaction covers a single event or a single reservation:

  • A resident can purchase multiple tickets to the same event in one transaction.

  • Tickets to a different event, or a reservation, are purchased in their own separate transaction.

Confirmation Emails

Once a payment is complete, the resident receives a confirmation email.

Residents Managing Their Own Purchases

Residents can view and cancel their purchases from the My Events and My Reservations sections of their user profile on the resident website or app.

Booking on Behalf of a Resident

When a Hub Admin books tickets or a reservation on behalf of a resident, the Book on Behalf window offers three payment options:

Payment Option

How It Works

Best For

Enter Card Details

The Hub Admin enters the resident’s card information directly into the Stripe payment window in the Hub. Payment is completed immediately.

Residents who share their card details in person or over the phone.

Send Payment Link

The resident receives an email with a link to complete payment on their own. The link must be paid within the set expiration time.

Residents who prefer to pay securely on their own device.

Non-Electronic Payment

The payment is logged in the Hub, with details recorded in the required Payment Notes field. Your team collects the funds and deposits them into the proper account.

Cash, check, or other payments collected outside the platform.

Payment Links

When you choose to send a payment link, the resident receives it by email. Keep the following in mind:

  • The link is tied to the resident. Payment links are associated with the resident the purchase was made for. The payment window displays only when the resident is logged in to their own account.

  • Links have an expiration time. Each payment link has a default expiration time, which is shown in the Book on Behalf window. You can adjust the expiration for an individual payment link during the Book on Behalf process. If you leave it unchanged, the default applies.

  • Unpaid links release the booking. If the payment is not completed before the link expires, the transaction expires and the tickets or reservation slot are released.

  • Need a new link? Contact the Cecilian Partners support team and we’ll provide a new payment link for you to send to the resident.

Tip: Let residents know to log in to their own account before opening the payment link, and to complete payment before the expiration time to keep their tickets or reservation.

Non-Electronic Payments

Non-electronic payments are logged in the Hub so that the booking is recorded and confirmed. When logging a non-electronic payment:

  • Complete the required Payment Notes field with the payment details, such as the payment type (cash, check, etc.) and any reference information.

  • Your team is responsible for making sure the funds are deposited into the proper account.

Changes to Existing Purchases

Any additional payment or refund is processed using the same method as the original payment. Purchases paid electronically are adjusted electronically, and purchases paid non-electronically are adjusted non-electronically.

Additional Payments

An additional payment is needed when a resident extends a reservation or purchases more tickets to an event.

Change

Original Paid Electronically

Original Paid Non-Electronically

Extending a reservation

Collected with a payment link. The additional payment stays associated with the original reservation transaction.

Logged as a non-electronic payment, with details in the Payment Notes field.

Adding event tickets

Collected with a payment link, or by entering the resident’s card details through Book on Behalf. Card entry is recorded as its own transaction, separate from the original purchase.

Logged as a non-electronic payment, with details in the Payment Notes field.

Refunds

Refunds are processed directly from the Hub. You can refund:

  • Cancelled event tickets

  • Cancelled reservations

  • Reservation deposits

Both full and partial refunds are supported. As with additional payments, refunds are returned using the same method as the original payment.

Electronic Refunds

Electronic refunds are returned to the resident’s original payment method through Stripe. Refunds typically take 5 to 10 business days to appear on the resident’s statement, depending on their bank or payment provider.

Non-Electronic Refunds

Non-electronic refunds are recorded in the Hub, and your team returns the funds directly to the resident.

Memberships

Memberships are purchased by residents through the resident website or app, using an electronic payment option in the Stripe payment window.
